Shipping machinery overseas involves more than choosing a freight price. Confirm that the actual machine can be transported and imported, then define the packing, documentation and receiving arrangements before dispatch.
Identify the complete shipment
List the tractor or machine, every attachment and all loose parts. Obtain measured shipping dimensions and verified weight in the intended packing configuration. Decide whether equipment travels assembled or separated. Do not estimate container quantities from the base machine dimensions without accounting for packing, securing and access.
Agree packing and handling
Ask the forwarder and carrier to specify the loading, securing and handling plan. Record lifting or tie-down instructions supplied for the machine. Protect exposed components and identify detachable items in the packing list. Fuel, battery and cleanliness requirements depend on the transport arrangement and destination and should be confirmed before booking.
Check import eligibility early
Have a destination broker review the equipment type, engine details, manufacture date and intended use. Verify applicable emissions, customs and inspection requirements before paying for transport. A European emissions label does not automatically establish US import eligibility. For US nonroad engines, EPA identifies Form 3520-21 as the relevant declaration form, including engines installed in equipment; the applicable entry basis must be checked.
Prepare consistent documents
Make the invoice, packing list and transport documents consistent about identity, quantities and values. Obtain any required origin or compliance documentation through the appropriate parties. Ask the broker to determine classification and current charges for the actual shipment instead of adopting an unrelated tariff code or generic duty estimate.
Define costs and insurance
State the delivery rule, named place or port and included services in writing. Ask which destination handling, clearance, storage and final-delivery costs remain. Review insurance coverage, exclusions, excess and claim procedures. Paying freight does not necessarily mean the seller bears risk throughout the journey.
Prepare the receiving site
Confirm unloading capability, access and the person authorised to receive the shipment. Track the documents needed for release and respond promptly to requests. Keep dispatch photographs and receiving records. Ask for a route-specific quotation using the complete package and destination rather than treating a general guide as a final shipping offer.
