Tractor delivery preparation begins before the transport vehicle is booked. The receiving site needs suitable access, an agreed unloading method and a person ready to check the delivered machine and accessories.
Confirm the delivery arrangement
Ask whether the shipment arrives on a flatbed, enclosed vehicle or container and whether the machine is assembled. Establish who arranges unloading and which equipment is needed. “Delivery included” does not automatically explain crane hire, ramps, labour or final positioning. Put those responsibilities in the quotation.
Measure access for the carrier
Provide gate width, road conditions, height restrictions, turning space and any time restrictions. Use the transport vehicle’s dimensions as well as the machine’s. Alert the carrier to narrow lanes, soft surfaces or steep access. Agree a suitable meeting or transfer point if the vehicle cannot reach the final site.
Arrange suitable unloading
Use competent personnel and equipment rated for the actual shipment. Confirm machine weight and dimensions in its delivery configuration, including attachments. Do not improvise ramps or assume an available tractor can unload another machine. The carrier and handling contractor should agree the safe method before arrival.
Prepare a receiving checklist
Compare serial numbers, attachments and loose components with the order and packing list. Photograph the shipment and any visible damage before it is moved where practical and safe. Record shortages or damage according to the carrier’s procedure and preserve relevant packaging. Do not start equipment with obvious safety defects.
Plan assembly and handover
If attachments are detached, establish who fits them and checks hydraulic connections, locks and guards. Collect manuals and service documents. Arrange familiarisation with controls and emergency procedures. A shipment’s arrival is not the same as a complete operating handover.
Keep the first-use record
Record arrival date, hour reading, inspection findings and any corrective work. Complete the manufacturer’s pre-use checks before work. If the machine will be used at a workplace, arrange the applicable training and inspection requirements. Keep a contact list for the supplier, carrier and service technician.
