Start with identification photographs
Request recent views from all sides, the machine plate, engine plate where relevant, hour meter and attachment plates. Ask for close-ups of wear areas and disclosed defects. If photographs show more than one machine, establish which unit is offered. An undated catalogue image is useful for illustration but does not prove current stock or condition.
Ask for a continuous demonstration
Request a video showing the identifiable unit, instruments and normal operation of the included equipment. Ask the demonstrator to explain any warning indications. Video supports review but does not replace an independent inspection or prove the absence of hidden faults. Use a technician when a meaningful condition assessment is needed.
Collect the ownership documents
Ask what invoice, sale documentation, service records, manuals and applicable conformity documents will accompany the machine. Confirm that serial numbers and attachment descriptions agree. Documents needed for import depend on the destination and equipment; have a competent broker identify those requirements before dispatch.
Make the quotation specific
Include the actual model, serial number, recorded hours, condition, attachments, mounting hardware and accessories. State the currency, validity, payment stages and delivery term with its named place. Clarify warranty scope and any agreed repairs. A description such as “complete package” should be supported by a complete equipment list.
Check business and payment details
Verify the supplier’s identity and independently confirm payment instructions, especially if bank details change. Keep communication and payment records. Discuss inspection arrangements and the process for resolving a mismatch before ordering. Avoid relying on a professional-looking photograph or website as the only verification.
Request dispatch evidence
Ask for loading photographs, packing details, listed loose components and relevant transport documents. Agree who receives them and when. At arrival, compare the shipment with the dispatch record and report discrepancies promptly under the agreed procedure. This creates a practical trail from quotation to handover.
